Classic - Key Performance Indicator Reporting

Key Performance Indicators (KPIs) can be used to measure the performance of specific areas of your business. The KPI reports that you create provide both summary and detailed information on how well each area is performing. You are able to choose which numbers are important to your organization and then display it on one report. Once the report is created, it can be saved and run again by simply selecting it.

 

The KPI Report

The primary parts of the KPI Engine that create the KPI report are:

  • Key Performance Indicators (KPIs)
  • KPI Datasets
  • KPI Reports

KPIs

KPIs consist of sums, averages or calculations made on different pieces of data. Each KPI is defined and stored in the KPI Engine. The KPI Engine determines:

  • Which fields of data are used
  • How the calculations are made
  • What potential grouping options should be available
  • What is required when using the software to ensure you gather the correct data to calculate the KPI

 

KPI Datasets

KPI Datasets are groupings of one or more KPIs. You can choose which KPIs you want to see as part of a single table of information. You can then choose how you would like them to be grouped. For example, by Employee, Department, or any combination you desire. 

 

Setup / Permissions

In order to access the KPI Manager screen, you must be a member of a User Group that has the appropriate permission.

  1. From the User Manager screen, right-click on a user, and select User Groups.
  2. Select the User Group from the dropdown at the top of the screen.
  3. Go to the Reports - 11 tab.

  4. Select the checkbox for KPI Manager and click Save.

 

Note: KPI reports can be created and set up to display in the Report Gallery. Permission to the Report category assigned to the KPI report will allow the user to run that report without access to the KPI Manager.

 

The KPI Manager

To access the KPI Manager screen, open the Report Gallery and click the KPI Manager button located in the lower left corner. All KPI Reports are created and modified from the KPI Manager screen.

There are two tabs on the KPI Manager screen:

  1. Reports - This tab lists all of the KPI Reports that are built and ready to run. This tab allows you to print, preview or export the results of your KPI Reports.
  2. Datasets - The Datasets tab allows you to view available datasets as well as create or edit your own. Datasets can also be printed or exported.

KPI Updates

Additional KPIs will be added to the KPI Engine periodically. Each time you access the KPI Manager, it will check for available updates. If there are updates available, a hyperlink in the upper right side of the screen will display. Clicking the hyperlink will install the update.

 

Creating Datasets

KPI Datasets can be created and then added to reports or you can create datasets while you are creating your report. To create a new Dataset:

  1. From the KPI Manager screen, select the Datasets tab.

  2. Select the Add button to open the KPI Dataset Editor screen.

  3. Enter a unique name in the Dataset Name field.
  4. On the Properties tab, enter a description and choose the default Timeframe or Trend Interval
  5. On the Layout tab, click on the Edit button in the KPIs in Dataset section to open the KPI Dictionary screen.
  6. Select the KPIs you want to make part of the dataset. (If Trend Interval is selected only one KPI may be included.)

  7. Click OK.
  8. The Up and Down arrows can be used to reorder the KPIs in the dataset.
  9. Click the Edit button in the Group By section to open the Select Group Bys screen. The available fields will depend on the KPIs selected for the dataset.

  10. Click the OK button.
  11. If you wish to filter your dataset, click the Add button in the Filter section.
  12. Select the Filter Type you desire and click OK.
  13. Click Save to save the dataset.

 

Once saved, the dataset can be printed, previewed, or exported in Excel format.

 

Creating a Custom KPI Report

A formatted report can be created from a dataset. To create a custom report:

  1. From the KPI Manager screen, select the Reports tab and click the Add button to open the KPI Report Editor screen.

  2. Enter a unique name for the report and choose which category the report should appear.
  3. Click the Edit button in the Datasets section.
  4. Select the dataset(s) for the report and click the OK button.
  5. Click Save.
