Successware allows for the assignment of an apprentice to a mentor. The creation of this relationship allows you to automatically create matching assignments and timecard entries for the apprentice that match those created for the mentor employee. This allows you to review apprentice assignments as well as report on them.
Note: The apprentice/mentor relationship will not result in the creation of scheduled assignments, but only actual assignments which result from the creation of timecard entries.
Apprentice relationships can be established in two ways:

Appointed Apprentices- In this case an apprentice is "appointed" to an employee (mentor). Until this relationship is turned off or changed, matching assignments and timecard entries will be created for the apprentice based upon those of the mentor.

One-Time Apprentice Entries- In this situation when a timecard entry or assignment is created for a mentor employee an apprentice can be selected at the time of entry. Matching timecard entries and assignments will be created for the apprentice.
Appointed Apprentices
Appointing an apprentice creates a relationship between the apprentice and mentor. When times are punched for the mentor technician, identical entries will be made for the apprentice. This relationship will exist and be used until a new apprentice is appointed or ‘No apprentice’ is selected.
Permanent apprentice relationships are maintained in Dispatch.
Note: In order for matching timecard entries to be created for an apprentice based upon those of the mentor, the apprentice assignment must be created BEFORE the call is dispatched to the mentor.
To Change or Create a Permanent Apprentice Appointment

From Dispatch, select the ellipsis next to an employee's name. In the menu that appears, select the Apprentice option.

In the Appoint Apprentice form, select an apprentice from drop-down or select No Apprentice to remove an existing apprentice appointment.

Click OK.
Any selection here will override any previous apprentice settings for the selected mentor. The apprentice appointed here will be used as the default value in the Apprentice field for all timecard entries and call progress entries for the specific mentor employee from this point forward.
One-Time Apprentice Entries
When making an entry for a "mentor" employee in the employees' Timecard you have the ability to specify an apprentice.
Note: In order for matching timecard entries to be created for an apprentice based upon those of the mentor, the apprentice assignment must be created BEFORE the call is dispatched to the mentor.
Employee Timecard
The assigned apprentice's timecard will contain identical entries as those made to the mentor's timecard.
Note: Specifying an apprentice in the Timecard will not change or create any permanent apprentice appointments, it will only affect the current timecard entry and assignment.
Hiding Apprentices in Dispatch
Dispatch has an option that allows you to prevent apprentices from displaying.
When checked, this option will only hide apprentice employees that do not have a non-apprentice assignment.
An employee is considered to be an apprentice if they are currently appointed to another employee as an apprentice (for the current day) or if they have any apprentice assignments for the day being viewed.
To Hide Apprentices:
1. Click on the Filter & Edit View button in Dispatch.
2. Select the Edit Default View tab from the slideout screen on the right.
3. Select the Hide Apprentices checkbox.
4. Click the Apply button.
