Classic - Creating a Sales Proposal

A proposal in Successware is a feature allowing you to group up to 5 different sales quotes into a single document that can be presented to the customer.

For example, if you have 3 different types of furnaces you can prepare a quote for each and then combine all 3 quotes into a proposal.

The proposal presents each of the options to the customer from which they will accept one of them. Proposals do not have to include quotes; you can simply enter a description of the option and a price.

 

Proposal Setup

To use proposal, you must configure Successware to use the Tabbed Job Summary Form. You can configure this on the Other tab of the Company Setup screen.

 

Creating A Proposal

To create a proposal:

1. Open the Sales Summary form.

2. Click the Add button to open the Proposal form.

3. Edit the system generated proposal number if desired.


4. Edit the Proposal Title. The title of the proposal will print on the reports so you may wish to update it to a meaningful name.


5. Each of the Note tabs will contain Proposal Notes entered on the Company Setup screen. These notes can be changed on this screen for each individual proposal if desired.


6. Click the Save button.

 

 

Adding Options to the Proposal

To add an option to a proposal, from the Proposal Options section of the Proposal screen.

1. Click the Add button.

2. Enter an Option Name and Option Title. You may also enter a description.


3. If the price for the option is based on a sales quote, select the radio button for A Quote.


4. If the sales quote is already entered in Successware, click the Quote # drop-down and select the quote.

5. Click the New button if you need to create or enter a sales quote.


6. Click the checkbox if you wish to Include this option in the Reported Quote Amount on the Sales Summary.

7. Selecting Locked will prevent the option from being changed.


8. Click Save when finished to save the option.

 

Note: Proposal Options can also be entered without a linked quote by entering the Offer Price. Quotes that are linked to a Sales Proposal cannot be voided and cannot be Unlocked if they are linked to a locked option.

 

 

Printing a Proposal

Two printing styles are available. Select your desired style and click the Preview button.

Marking the Accepted Option

When the customer accepts one of the proposed options, that option can be marked as 'Accepted'. Options must be marked as 'Locked' before they can be Accepted.

1. From the Proposal tab of the Sales Summary, double-click on the option to open it.


2. Select the Locked checkbox. This will make the Customer Accepted option visible.


3. Check the Customer Accepted checkbox.

4. Click the Save button.


The value of the “accepted” option will be the default “sold price” of the job. You can override this if needed. If a job has multiple proposals, then the “sold price” for the job will be the sum of all “accepted” options.

 

 

Proposal Templates

Frequently used proposals can be saved as templates and used as the basis for additional sales proposals. Any Sales Proposal can be saved as a template by clicking the Save As Template button.

Click the Add From Template button and select any saved template from the list to create a Sales Proposal from a template. Any linked Sales Quotes will be used to create actual quotes on the sales job.

Proposal Templates can be viewed on the Quote Manager by clicking on the Templates option.
