Classic - Updating Successware

In order to ensure the integrity and backup of Successware data, it is strongly recommended that the DATABASE MAINTENANCE utility be run on a regular basis by all companies who have elected to host their own data. This is NOT required for users of the Successware/ASP since database maintenance is performed by Synergy Global Solutions for these customers.


Successware's DATABASE MAINTENANCE utility performs several tasks, such as backing up the database, performing an integrity check, and running an index cleanup.


Caution: Failure to perform this simple database maintenance could result in data loss, database corruption, missing data or even catastrophic failure.

 

 

Running Database Maintenance

To access the Database Maintenance Utility:
1. Select the 21 button on the toolbar to access the menu screen.
2. Select Setup and then choose Utilities.

3. Click Yes to confirm that no other form is open.

4. From the UTILITIES MENU, select Maintenance Tools and click Run Utility.

5. Next, select Database Maintenance and click Run Utility.

6. Verify that all other users are logged out of Successware, then click the Run Maintenance button.

7. Click Yes to begin the maintenance process.

Note: A progress window will appear. The progress bar will not fill up however the text indicating which task is being performed will change. BE PATIENT! This process may take more than 30 minutes to complete.

WARNING! DO NOT STOP THIS PROCESS MANUALLY! When the process is finished, an information window will appear.

8. Click No to forego viewing of the log file.
9. Click Close to exit the Database Maintenance utility.

 

 

Backing Up Your Database

Some database maintenance tasks should be performed more frequently than others. We suggest that a backup of the database should be run on a daily basis or before any software upgrade is installed.


To run the Backup task:
1. From the DATABASE MAINTENANCE utility screen, click the Details button.
2. The Maintenance Option details screen will appear. Each individual task is listed on a separate tab.

3. Select the Backup tab.

Notice that on this screen the location where the backup file will be stored is displayed. This location cannot be changed. The files created by Successware in this location will need to be added to your normal system backup plan and should be stored in a location separate from this server.

4. Click the Run Option button and then click Yes to begin the backup process. A window will appear to indicate that the backup process is running.
5. When the backup is complete, click No to forego viewing the log file.
6. Click Close to exit the DATABASE MAINTENANCE utility.

Note: Other individual utilities on the Database Maintenance screen should be run only with the guidance of Successware's Support staff. Please contact the support staff at 888-251-2779 with any questions.

 

 

Updating Successware

Note: Make certain to run the Backup process of the Database Maintenance utility prior to running the Update.

Note: Make sure everyone but the user running the update is logged out of Successware. This is very important. If there are any other logins to Successware the update will fail.

 

To update Successware, do the following:

 

A. Determine whether to update from the server or a workstation

1. If you are using any SWAPI Add-on product (like Successware Mobile, for example), you must run the update from the server hosting Successware. If you do not have internet access from the server, please contact Successware Technical Support.
2. If you are NOT using any SWAPI Add-on product, you may run the update from the server OR a workstation.
3. If you are not sure, run the update from the server.


B. Update Successware

1. Login to Successware and click the “21” button in the upper left side of your task bar.
2. From the Main Menu select “Setup”.
3. Select “Utilities”.
4. From the pop-up window click “Yes” to close all forms.
5. Double-click the “Administrative Tools” option.
6. Double-click the “Check for Updates” option.
7. When prompted, click the “Download” button.
8. When prompted, click the “Update” button.
Note: If installing from a workstation, you will see a message window appear stating that the workstation you are installing the update from is not the server. At this point, click the “Ignore” button to continue installing the update.
9. Login to Successware.
10. When prompted, click the “Update” button once again.
