Creating New Employees

If you need to create new employees to allow them to use Successware Mobile, please follow these steps:

1. Open the Main Menu from the toolbar in Successware.

2. Click the Setup Group.

3. Click on the Employee Manager Option.

4. Once the Employee Manager opens, right click and select New.

  • You may also use the Insert (“Ins”) key on your keyboard.

5. Enter an Employee Code that is between 3 and 6 characters.

  • This MUST match your employee’s user name in order for them to login and use Successware Mobile.
  • Once this Employee Code is saved the first time, it cannot be changed.
  • Remember: The Employee Code is used to identify the tech within Successware such as on the dispatch board.

6. Make sure that the employee is marked as Active at the top of the Employee Setup.

7. Any employee that will use Successware Mobile must be marked as a Technician, Sales person, or Subcontractor.

8. Enter the other information for the employee including their name, default department, payroll info., etc.

9. Click Save.

10. If employee payroll setup is red, this means you do not have payroll setup for this employee. You will be prompted with a warning. You may:

  • Click Yes - Choose to fill out the payroll information.
  • Click No - Choose to not setup payroll at this time.

NOTE: When you get back to the Employee Manager, your employee may not show up immediately.

To refresh the employee list, simply click on “Subcontractor” at the top then click back on “Employees”.

 

Creating Users from Employees

1. From the Employee Manager, select your employee.

2. Right click on that employee, and select "Successware21 User…"

3. Make sure that the Username is the same as the Employee Code

4. Fill out the Full Name and Comment

5. Ensure the checkboxes are checked that enables them to use third party apps and marks the employee as is active.

6. Set the User Group to one of the Remote User Groups.

  • RemoteTech, RemoteTechManager, RemoteTechOnCall
  • If you do not have these, you may leave it blank

7. Click Save.

8. Click the Reset password link to set a temporary password. Follow those guided steps.

 

Changing a User’s Password

Often your technicians may want to change their password to make it more memorable to them. Their password can be changed, but it must be changed in Successware. To change your user’s password:

1. If you need to logout, click on the Gold Key button on the toolbar. This will log you out of Successware and bring you to the login page.

2. Make sure that you have the correct company selected.

3. Select the “Change my password…” option under the password. You do not need to put in the username and password first.

4. Put in the user’s current username and password.

5. Type in the new desired password.

6. Confirm the new password.

7. Click OK.

You may receive a message saying that “Successware logon is disabled for this user.” This is not a problem because they probably only have access to login to Successware Mobile and not Successware. Simply click OK.
